Springfield Park District ADMINISTRATIVE ASSISTANT - RECEPTIONIST Department: Administration Position Title: Administrative Assistant Receptionist Reporting Authority: Director of Finance & Administration Classification: Non-Exempt (hourly, non-CBU) Salary range: $17.
50-$21.
85 per hour ($36,400-$45,448 annual base pay) Position Summary: Performs duties related to general administrative functions at District’s Main Offices, more specifically providing auxiliary support to the Executive Director.
Specific Responsibilities: · Work closely with District’s administrative staff, providing assistance in the areas of administration, customer service, secretarial, clerical, and other general office activities as required.
· Greets and receives visitors at the District’s administrative offices.
Serves as public information liaison providing guidance and District information to the public and contact information as needed.
· Answers incoming calls, providing relevant information, and directs complaints and difficult inquiries to the appropriate staff member as needed.
· Accepts and enters program registrations, facility reservations and park permits into the District POS system.
Creates reservations and rentals of park facilities, shelters, and picnic areas, and maintains calendars utilized for tracking such activities.
· Schedules and coordinates meetings and other events.
· Posts notices and maintains site calendar for the Bunn Administrative Offices.
· Creates documents for the Executive Director and Board of Trustees which may include, but are not limited to: Meeting agendas, board minutes, resolutions, ordinances, and other such records ancillary to the functioning Board.
· Creates and maintains functional, logically organized, archives for all such documents created in the normal ordinary course of performing the duties of the position.
· Maintains database of open (unpaid) ordinance violations issued by Park Police, and actively participates in the collections, cash receipts, or referral of such violations to court.
· Other duties as assigned Required Knowledge, Skills, and Abilities: · Must be able to demonstrate Excellent customer relations · Ability to handle multiple tasks simultaneously and in a timely manner · Intermediate to advanced skill level utilizing Microsoft Word© application · Basic skill level utilizing Microsoft Excel© application · A minimum of a high school diploma or equivalent candidate · At least three years of experience working in an office environment · Preference may be given to candidates with post-secondary school coursework within business disciplines Requirements: · Must be able to read and write and have excellent command of the English language.
· Excellent oral and written communication skills.
· Physical capabilities – lifts 50 pounds, squat, bend and move as necessary for the job.
· Must be able to perform basic mathematics.
· Must have basic proficiency utilizing Microsoft Office Suite©.
· Must possess valid Illinois Driver’s License.
· Must possess professional phone skills and work well with the public.
· Must present a neat and professional appearance.
· Responsible to follow policies and procedures outlined in Springfield Park District employee manual.
