The Office Associate assists the Carnival and Conciliation and Mediation Division at the Department of Labor.
This position does backup the main agency front desk personnel at the front desk answering phones and greeting customers.
Minimum Qualifications 1 Requires knowledge, skill, and mental development equivalent to completion of high school.
Requires two (2) years office experience.
Essential Functions Provides clerical support and performs administrative duties for the Amusement Ride Safety Division.
Gathers and processes documents for Freedom of Information Act requests.
Copies, mails, and/or distributes required documents.
Keyboard and mail letters for Division managers' signatures as requested.
Answers phone and aids callers in answering non-technical questions regarding Illinois labor laws concerns to appropriate staff.
Exercises discretion and judgment in referring complex, technical matters, and policy concerns to appropriate staff.
Mails and/or faxes information requested by callers, including wage rates.
Retrieves messages from voice mail following absences and returns calls or directs calls to program [personnel for assistance.
Greets visitors and serves as relief receptionist for the front desk.
Maintains Labor Management database and accounts receivable database documenting outstanding money.
Records checks received from employers for wages and penalties and for Amusement Ride Safety licensing into the Department’s fiscal tracking system.
Updates database information when additional activity and/or checks are received.
Mails checks to employees owed back wages within 24 hours after receipt and recording.
Prepares and distributes monthly statistical report summarizing wages and penalties and Amusement Ride Safety licensing funds collected and monies outstanding.
Prepares weekly reports of these activities.
Organizes and maintains a variety of files consisting of documents relating to program activity, case files, ordinances, and labor management notices.
Creates new files and purges case files annually.
Prepares files for transfer to State Archives and maintains records of archived files.
Receives, reviews, sorts, and distributes incoming mail for Amusement Ride Safety Division.
Performs duties as required or assigned with are reasonably within the scope of the duties enumerated above.
Preferred Qualifications Two (2) years of experience performing alpha/numeric filing of documents.
Two (2) years of experience coordinating multiple assignments to meet deadlines.
Two (2) years of experience preparing and maintaining schedules, tracking systems, records, and reports to ensure compliance with statutes, rules, regulations, and policies.
Intermediate proficiency using Microsoft Office Word or similar word processing software.
Intermediate proficiency using Microsoft Office Excel or similar spreadsheet software.
Conditions of Employment This position is considered light work as defined by the U.
S.
Department of Labor (20 CFR 404.
1567(b)).
Light work involves lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds.
This job may require a good deal of walking or standing, or involves sitting most of the time with some pushing and pulling of arm or leg controls.
