*Position Description:*
Performs administrative and office support duties for branch office.
Work is proprietary, and requires strong administrative skills as well as interpersonal and communication skills.
This position requires excellent written and verbal communication skills, someone who is a self-driven, is proactive, and has the ability to prioritize, and organize workload on a daily basis.
You must demonstrate a high level of professionalism, confidentiality, and diplomacy while providing efficient administrative support.
Pay corresponding with level of experience.
*Education:*
Minimum two-year degree in Administrative Administration, English, or Business preferred; however, candidates with a High School Diploma along with a minimum of five or more years of experience in administrative and advance word documents will be considered.
Previous experience working for an engineering or consulting firm is a plus.
*Job Duties:*
· Greeting clients, visitors and answering a multiple line phone system.
· Provide administrative support to staff, such as word processing for memorandums and correspondence.
· Proofread and/or edit general correspondence/documents.
· Assist staff with compiling technical reports including format and layout, creating attachments and appendices, completing forms, proofreading text.
· Maintain project records to prepare detailed reports from such records as assigned.
· Arrange meetings, travel, manage calendars and prepare expense reports.
· Exhibit excellent interpersonal skills and have frequent interaction with senior management, staff from across the firm, and clients.
· Performs other duties as required or assigned which can include the following:
* Sort and distribute incoming and internal mail, email and faxes.
* Daily shipment or delivery of outgoing mail by various methods.
* Maintain and order inventory of office supplies and stationery items.
* Arrange repair for copier, fax and other office equipment.
* Coordinate cleaning of office and maintenance needs.
