Description
The primary function is to perform duties and responsibilities for the medical outpatient clinic
of the Neuroscience Institute, which includes but is not limited to, Neurology and Psychiatry.
This position aids in the courteous and efficient operation of the clinical reception area.
Examples of Duties A.
Data Input 40% 1.
Enter appointment schedules in IDX for NSI faculty, fellows, and residents.
2.
Review each patient’s demographic and insurance information making applicable changes as necessary in IDX.
3.
Enter new patient information through personal interview at time of check-in or by obtaining information from external contacts as needed.
4.
Enter no show/cancel appointments into IDX.
5.
Monitor schedules for all faculty and residents for any scheduling conflicts.
6.
Generate clinic schedules, copy and distribute to appropriate staff.
7.
Block provider schedules and reschedule appointments for outages.
Responsible for coordination and completion of requests sent to the NSI Scheduling email list serve.

Monitor Touchworks tasklists and respond as needed.

Generate Touchworks tasks for nurse calls as needed.
10.
Create and update provider templates/profiles in IDX.
B.
Patient Services 40% 1.
Inform patients of SIU billing policies.
2.
Greet patients and complete appointment check-in.
3.
Answer incoming telephone calls, take message or route to appropriate staff.
4.
Answer patient questions regarding directions for hospital services.
Make telephone calls for patients to obtain transportation.
5.
Schedule appointments for new patients and return visits per provider’s request.
6.
Accept payment at the time of service or payment on accounts from patients, following procedure guidelines.
Reconcile payments and cash fund on a daily basis.
Close batch at end of day.
Request change for cash box as needed.
7.
Communicate with nurse and/or doctors regarding scheduling patient add-ons or changes on patient appointments.
8.
Schedule tests and fax orders to appropriate agencies.
9.
Schedule interpreters for special needs patients.
10.
Assist in obtaining referral authorization for patients with managed care insurance.
11.
Mail to new patients, appointment brochures with other pertinent information needed for the appointments.
12.
In absence of Medical Insurance Staff, initiate insurance authorizations, work appointment list for authorization, co-pay and other details.
C.
Administrative 20% 1.
Retrieve medical records and other documents from outside agencies.
2.
Initiate and oversee work flow in the reception area.
Suggest and aid in implementing efficiency procedures in the reception and clinic area.

Coordinate staff for personnel breaks, lunch hours, and work schedules to ensure proper coverage.
4.
Maintain inventory of clinical office forms and supplies; order when necessary.
5.
Train new and temporary reception staff and assist in general aspects of operations of the Neuroscience Institute.
6.
Assist in writing protocols and maintain training manuals.
7.
Attend quarterly meetings and other information meetings as requested.
8.
Monitor clinical waiting area which includes maintenance of reading materials, stocking of departmental news and brochures.
9.
Other duties as assigned.
Qualifications Any one or any combination totaling two (2) years (24 months), from the categories below: College education with coursework in a medical or para-medical field such as nursing assistant, medical assistant, or medical secretary and/or business fields such as business, finance, computer science, public administration, or social science, as measured by the following conversion table or its proportional equivalent: 30 semester hours equals one (1) year (12 months) Associate’s Degree (60 semester hours) equals eighteen months (18 months) 90 semester hours equals two (2) years (24 months) Work experience comparable to that performed at the Medical Office Associate level or in other positions of comparable responsibility.
