Summary:
Under administrative direction, coordinate and manage the business and administrative operations of the Biology, Chemistry, Environmental and Natural Sciences, Master of Public Health departments, stockroom, and any other departments within CHST who would need assistance.
Perform a wide variety of support tasks and operate computer systems utilizing various office software packages.
Will work with faculty in assisting with clerical work.
Duties & Responsibilities:
Answer phone calls, review and answer CHST, Biology, Chemistry, and Environmental Science emails, greet office guests, answer questions, direct inquiries within CHST Dean's Office and CHST departments.
Responsible for all clerical functions of Biology, Chemistry, ENS, and MPH departmental offices and responsible for assisting with the set up operating procedures.
Inputs course approvals in Banner.
Assist with coordinating departmental special events during the academic year, including preparing programs, reserving space, and ordering refreshments for events.
Events include conferences, guest lecturers, and interviews (when applicable).
Provide support to the academic departments and Dean's Office of Health, Science, and Technology under the direction of the Administrative Assistant (e.
g.
compose letters, prepare and execute large and routine mailings, maintain orderly office space with a professional atmosphere, provide appropriate assistance to faculty in the use of computer equipment, scan, copy and collate various materials and distribute to various parties).
Assist departments by organizing department meetings and taking meeting notes upon request.
Manage the department's academic files and records both paper and electronic.
Scan files to digitize.
Assisting CHST Administrative Aide, with researching purchasing requests submitted by faculty members.
Keeps the department chairs and lab director informed of departmental issues, student statuses and concerns, university developments.
Anticipates and responds to the needs of the departments which requires interpretation and knowledge of program administrative and academic policies and procedures.
Performs other duties as assigned.
Minimum Qualifications:
High school graduation or equivalent
Knowledge, Skills & Abilities:
Ability to sit for long durations at a computer.
Lift a minimum of 15 pounds.
Extensive knowledge of office support and general office practices and procedures, especially Microsoft Office Suite (Outlook, Word, Power Point and Excel).
Skill in oral and written communication
