*Position Overview*
The Illinois Department of Public Health is seeking a highly motivated individual, who under the direction of the Division Chief, performs a variety of complex specialized clerical information and assistance, keyboarding, vital record processing, and general secretarial office support.
Answers main Division’s telephone lines and responds to inquiries.
Prepares correspondence.
Processes and responds to requests.
Performs general secretarial duties.
Speaks and writes Spanish at a colloquial skill level to members of the Spanish speaking community.
*Job Responsibilities*
1.
Responds to, or directs, questions from local custodians of vital records requiring assistance.
2.
Prepares/keyboards correspondence including letters, emails, requests for goods and services, memos, forms and travel vouchers.
3.
Responds to inquiries regarding the Vital Records Act and Vital Records Code from the general public and county offices.
4.
Utilizes personal computer for preparation of reports and their distribution to local registration officials, the annual reporting of fees due to local registrars, appointments of registrars/deputies and distributes appropriate forms and updates the statewide directors of local officials.
5.
Speaks and writes Spanish at a colloquial skill level to customers.
6.
Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
*Minimum Qualifications*
Requires knowledge, skill and mental development equivalent to completion of high school.
Requires two years of office experience.
Requires ability to keyboard accurately at 45 words per minute rate.
Requires the ability to speak and write in Spanish at a colloquial skill level.
