*Position Overview:* We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Co-Executive Directors.
The successful candidate will be responsible for managing administrative tasks related to our governing Board of Directors, performing basic accounting functions, and serving as a backup to our customer service team.
This role requires exceptional organizational skills, attention to detail, the ability to maintain confidentiality, and the ability to thrive in a fast-paced environment.
_*Key Responsibilities*_*:*
*Board of Directors Support:*
* Coordinate all aspects of board meetings (virtual and in-person), including scheduling, agenda preparation, and distribution of materials.
* Attend board meetings, take accurate minutes, and prepare concise summaries for distribution.
* Maintain records of board activities, including resolutions, policies, and official documents.
* Facilitate communication between board members, executive leadership, and relevant stakeholders.
* Assist with the onboarding of new board members, including orientation and training materials.
*Administrative Assistance:*
* Manage calendars, schedules, and appointments for the Co-Executive Directors.
* Arrange travel logistics, accommodations, and itineraries for executive team members as needed.
* Prepare and edit correspondence, presentations, and reports on behalf of the executive team.
* Handle incoming communications, including phone calls, emails, and inquiries, with professionalism and discretion.
* Assist with basic accounting (primarily accounts payable) tasks.
* Coordinate special projects and initiatives as assigned by the Co-Executive Directors.
*Customer Service Backup:*
* Serve as a secondary point of contact for customer inquiries and issues during peak periods or staff absences.
* Assist with resolving customer concerns, escalating issues as necessary to ensure timely resolution.
* Maintain a thorough understanding of company products, services, and policies to provide accurate information to customers.
*Qualifications:*
* Bachelor's degree in Business Administration, Communications, or a related field preferred.
* Proven experience (minimum of 2 years) as an executive assistant or similar role, preferably supporting C-level executives or board members.
* Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams), Adobe Acrobat, Zoom, and other relevant software applications.
* Excellent written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
* Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines effectively.
* Discretion and confidentiality in handling sensitive information and communications.
* Adaptability and resourcefulness in navigating complex and evolving situations.
* Previous experience in customer service or client-facing roles is a plus.
